The CEDAR Repository is operated by the College of Education Library, University of Santo Tomas. This Privacy Policy describes how we collect, use, and safeguard information when you access or use the repository.

By using the CEDAR Repository, you consent to the data practices described in this policy.

2. Information We Collect

2.1 Automatically Collected Information

When you visit the CEDAR Repository, we may automatically log:

  • IP address (anonymized for analytics)
  • Browser type and version
  • Pages viewed and time spent
  • Search queries entered in the repository
  • Items viewed and downloaded

This information is used solely for improving repository services and for aggregate usage statistics.

2.2 Information Provided by Submitters

When submitting content through the Admin Portal, authorized users provide:

  • Author names, institutional affiliation, and email addresses
  • Thesis and research metadata (title, abstract, keywords, department)
  • File uploads (PDF documents)

Author names and institutional affiliations are published as part of the public repository record. Email addresses are used for administrative communication only and are not displayed publicly.

3. How We Use Your Information

  • To display repository content and metadata to the public
  • To operate and maintain the repository platform
  • To generate anonymized usage statistics for institutional reporting
  • To process content submissions and correspondence
  • To comply with legal or institutional obligations

We do not sell, rent, or share personal data with third parties for commercial purposes.

4. Data Retention

Repository metadata and full-text documents are retained indefinitely as part of the institutional record. Access logs are retained for a limited period for security and analytics purposes, after which they are deleted or permanently anonymized.

5. Cookies

The CEDAR Repository may use session cookies to maintain user preferences and navigation state. No persistent tracking cookies are set for public users. Admin users may have session cookies to maintain authenticated sessions.

6. Third-Party Services

The repository uses Supabase as its backend infrastructure. Data is stored on servers operated by Supabase, Inc. in accordance with their data processing agreement. No analytics services with cross-site tracking are used.

7. Data Rights

Authors who have submitted content may request corrections to metadata or removal of their work by contacting the College of Education Library. Requests for data removal are evaluated against the University’s institutional records retention policy.

8. Security

We implement appropriate technical and organizational measures to protect data from unauthorized access, alteration, or disclosure. Access to the administrative system is restricted to authorized personnel through authenticated sessions.

9. Changes to This Policy

This policy may be updated periodically. The date at the top of this page reflects the most recent revision. Continued use of the repository following any changes constitutes acceptance of the updated policy.
